PrivacyPolicy
What we collect, why we collect it, and who can see it. Written for parents, not lawyers. Questions? Email info@nordicsoccer.com or call 818-873-9504.
Who we are
Nordic Soccer runs youth soccer programs in Los Angeles: after-school programs on school campuses, development classes, camps, club teams, and the Viking League. Nordic Soccer is operated by Nordic American Athletics, doing business as Nordic Soccer, a California business. When this policy says "we" or "us," that is who it means.
This policy covers nordicsoccer.com, the Parent Portal, and the information families share with us when registering for programs.
What we collect
Information about you (the parent or guardian)
- Your name, email address, and phone number when you create an account or register a child.
- Login happens through an email link or Google sign-in. We never see or store a password for Google accounts.
- Emergency contact names and phone numbers you provide.
- Friend referrals and account credits if you use our referral program.
- Feedback you send us through the portal or by email.
Information about your child, provided by you
Children never create accounts on our site, and our site is not directed at children. Everything we know about a player comes from a parent or guardian during registration:
- Child's name, birth date, grade, and school.
- Medical conditions and allergies you choose to share so our coaches can keep your child safe.
- Your photo and video consent choice, stored per child. Photos and videos are only used according to that choice.
- Program records we create while running sessions: attendance, badges earned, session reports, and incident reports.
- The liability waiver you e-sign, stored with a timestamp and a content fingerprint so we can prove exactly what was signed and when.
Payments
All payments are processed by Stripe. Your card number goes directly to Stripe and never touches our servers. We only see what Stripe reports back: that a payment succeeded, the amount, and the last digits of the card.
Cookies and analytics
We use Google Analytics 4 to understand how people use our website (which pages get visited, roughly where visitors come from). Google Analytics sets cookies and identifiers in your browser to do this. We use this data only in aggregate to improve the site. You can block these cookies with standard browser settings or extensions and the site will work fine.
How we use your information
- To run our programs: rosters, schedules, attendance, and coach assignments.
- To keep kids safe: allergy and medical notes go to the coach running your child's session, and emergency contacts are there if we ever need them.
- To communicate with you: login links, receipts, and schedule updates arrive as transactional emails (sent through Resend). Program news and parent updates come from info@nordicsoccer.com.
- We do not send marketing text messages. Phone numbers are collected for operational and emergency contact only.
- To process payments and manage subscriptions through Stripe.
- To improve the website using aggregate analytics.
Who can see your information
- Coaches. Coaches have invite-only accounts and see rosters only for the sessions they run: child first and last name, grade, allergy and medical notes, and an emergency phone number. Nothing more, and nothing for sessions they do not coach.
- Founders. Parent feedback goes only to the two founders. Incident reports and safety records are reviewed by the founders.
- Service providers. Stripe (payments), Resend (transactional email), Google (analytics and sign-in), and Railway and TiDB (the servers and database that host our site). Each only receives what it needs to do its job.
- Legal requirements. We would disclose information if a law, court order, or child-safety obligation genuinely required it.
We do not sell or rent personal information. We do not share personal information with third parties for advertising. There are no ad networks on this site.
Children's privacy
Our website and Parent Portal are built for parents and guardians, not children. Children do not create accounts, log in, or submit information themselves. All information about a child is provided by that child's parent or guardian.
As a parent, you can review, update, or delete your child's information at any time from your Parent Portal account, or by emailing info@nordicsoccer.com and we will handle it for you.
Your California privacy rights
Most Nordic families are California residents, and we honor California privacy rights for everyone:
- Right to know. Ask us what personal information we hold about you and your children, and we will tell you.
- Right to correct. Ask us to fix anything that is wrong, or update it yourself in the portal.
- Right to delete. Ask us to delete your personal information. We will delete everything we are not legally required to keep (see retention below).
- No sale of personal information. We do not sell personal information, so there is nothing to opt out of.
- No discrimination. Exercising these rights never affects your family's place in our programs.
To exercise any of these rights, email info@nordicsoccer.com or call 818-873-9504. We will verify you are the account holder and respond promptly.
How long we keep information
We keep your account information while your account is active. If you ask us to delete your account, we delete personal information except records we need to keep for child safety and legal reasons: signed waivers, incident reports, and payment records required for tax and accounting. Those are kept only as long as the law and our insurance obligations require.
How we protect information
- All traffic to our site is encrypted in transit (HTTPS).
- Access controls limit who sees what: coaches see only their own rosters, and administrative access is restricted to the founders.
- Card data is handled entirely by Stripe, a PCI-certified payment processor.
- Login links expire and Google sign-in means one less password to protect.
No system is perfectly secure, but we collect only what we need and guard it carefully.
Changes to this policy
If we change this policy in a meaningful way, we will update the effective date at the top and let account holders know by email. Small clarifications may be made without notice.
